Office Administrator / HR & Payroll Coordinator

We are seeking an experienced, detail-oriented Office Administrator / HR & Payroll Coordinator to support day-to-day operations in a fast-paced, growing organization. This role plays a key part in ensuring seamless payroll processing, HR coordination, and overall office efficiency. The ideal candidate is highly organized, professional, and enjoys supporting both employees and leadership while maintaining a well-run workplace.

Key Responsibilities

Process and manage bi-weekly payroll through CoAdvantage, ensuring accuracy and timeliness

Maintain employee records, including PTO, vacation, sick time, reimbursements, and personnel files

Coordinate onboarding and compliance documentation, including I-9s, E-Verify, and background checks

Support recruiting efforts such as job postings, scheduling interviews, and assisting with employee reviews

Serve as a point of contact for employee questions related to payroll, benefits, and company policies

Maintain HR systems, employee databases, and assist with handbook updates

Oversee day-to-day office operations including supplies, filing systems, travel arrangements, and special projects

Plan and coordinate employee engagement activities such as birthdays, anniversaries, team events, and office lunches

Provide administrative and executive support to leadership as needed

Qualifications

5+ years of experience in office administration, HR, payroll, or office management

Strong organizational, multitasking, and communication skills

High level of discretion and ability to handle confidential information

Proficiency in Microsoft Office and cloud-based systems

Experience with HRIS or payroll platforms (CoAdvantage preferred)
